Values: Curious & Creative Hungry For Food & Results Entrepreneurial Forward Thinking & Flexible Supportive (Of Peers & Chefs) The Buying Department Administrative Assistant provides critical administrative support to the Buying team, helping to ensure efficient purchasing operations and seamless communication between vendors, internal departments, and distribution teams. The ideal candidate is highly organized, detail-oriented, and customer-service focused, with the ability to manage multiple priorities in a fast-paced environment. This role plays a key part in supporting purchasing activities, vendor coordination, reporting, and daily department operations. What You'll Do • Provide administrative support to the Buying and Purchasing team. • Answer and direct incoming calls from vendors, customers, sales representatives, and internal departments. • Assist buyers with data entry, purchase order administration, vendor information management, and reporting. • Schedule and coordinate inbound freight delivery appointments with vendors and carriers. • Maintain accurate purchasing, receiving, and inventory-related records. • Troubleshoot and resolve routine vendor and customer inquiries in a professional and timely manner. • Support receiving operations, including driver check-in procedures and documentation. • Open, sort, and distribute daily mail and department correspondence. • Assist Customer Service with invoice entry, scanning, and document management. • Prepare and distribute monthly customer statements and other departmental reports. • Collaborate with cross-functional teams to support purchasing initiatives and ensure operational efficiency. • Perform other administrative and departmental duties as assigned. About You • Associate degree preferred, or equivalent combination of education and administrative experience. • Previous experience supporting a purchasing, buying, merchandising, supply chain, or administrative function preferred. • Strong organizational skills with exceptional attention to detail and accuracy. • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment. • Excellent verbal and written communication skills. • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word. • Strong customer service mindset with the ability to build positive relationships with internal and external partners. • Experience with purchasing, inventory, ERP, or warehouse management systems is a plus. #LI-BC 1 #LI-Onsite The above job description is not an all-inclusive list of duties and standards of the position.
