Rhetoric School Administrative Assistant and Registrar CLASSIFICATION: Exempt REPORTS TO: Rhetoric School Headmaster Purpose The purpose of this position is to support Rhetoric student achievement by performing a variety of administrative functions in support of the Rhetoric School mission. The RS Admin Assistant and Registrar acts in tandem, and when required, in the stead of the RS Administrative and Testing Coordinator in support of faculty, substitute teachers, volunteers, students and RS families. Summary The Rhetoric School Administrative Assistant and Registrar provides support for the administrative aspects of the RS. This includes securing substitute teachers and recording teacher attendance, serving as the office receptionist, processing paperwork and distributing mail, ensuring adequate inventory and ordering office and classroom supplies, recording student attendance and providing accurate reports to Rhetoric administrators, and completing general office administrative tasks. Supervision Received and Exercised Employee receives direction from the Rhetoric Headmaster. Methods of performing tasks are left to the judgment of the employee with input, advice, and direction as requested by the employee. The work may be reviewed upon completion. Work Schedule This is a full-time, year-round position of 40 hours per week. In general, the workday is 7:30 a.m. to 4:15 p.m., five days a week. However, as an exempt employee, the employee is expected to work beyond the workday to perform duties outlined in the job description and as assigned. During the summer months, the workday may be reduced to 9:00 a.m. to 1:00 p.m. Monday through Thursday as the workload allows. Essential Job Functions Spiritual Leadership Study the Bible, God’s only written Word Skillfully articulate the personal/ethical implications of a lifelong faith commitment Measure knowledge against the standard of God’s revealed truth in Scripture Actively participate in the explicitly religious components of the student and community programs Demonstrate an overt commitment to the life of a church and its core traditions Respect the School’s Christian mission and values, and aid students in Christian formation by exemplifying Christian living, both in and out of the office Be a positive role model for students by supporting Geneva’s Beliefs including the School’s Statement of Faith and Statement on Identity, Sexuality and Gender and exemplifying the Portrait of a Geneva Teacher Perform duties as a minister and steward of the Christian faith RS Front Office Support Answer incoming phone calls Respond promptly to emails and voicemails Assist visitors, volunteers and students as needed Provide late slips for students Maintain sign-in/sign-out logs using visitor tracking system Collect, document and file or distribute all incoming forms Distribute mail in teachers’ boxes in the workroom Assist with RS mailings, e.g., Summer/Beginning-of-School Mailing Collect and document money for a wide variety of student activities and disburse to appropriate offices RS Registrar Record and track student absences Process student absences and file any documentation Enter details for absences and excused school activities into Student Information System Monitor attendance daily for anomalies, including potential class skips, and report to supervisor Track student absences and report weekly to supervisor based on reporting thresholds Request homework assignments when necessary Track and report student tardies Track and report student tardies and report weekly to supervisor based on reporting thresholds Schedule detention and communicate to students and parents Reschedule students who missed assigned detention Record and track overall detentions on a yearly basis Respond to Records Requests – Logic & Rhetoric School Prepare and submit records requests for transfer students (Logic School) Prepare requested transcripts for signature and mail/submit (Logic School) Complete Verification of Enrollment forms for student drivers Logic & Rhetoric Substitute Coordinator Coordinate substitute faculty coverage Contact & secure approved substitute teachers for teacher absences Identify current faculty who may be available to substitute, when necessary Notify students of classroom changes, if needed Provide substitute teachers with class rosters and teaching materials provided by faculty Track Faculty absences and report to HR for verification as needed Verify substitute payroll hours in HRIS Office and Classroom Supplies Inventory RS office supplies regularly Place office supply orders Place classroom supply orders Complete paperwork for payment by Business Office Perform General Office Administrative Tasks Assist faculty and volunteers with administrative tasks and use of office equipment Maintain sign-out of classroom and Lyceum keys Ensure forms available in the reception area and in the teacher work room are current and available Collect student lunches, sports gear, instruments, and other paraphernalia and ensure items are secure and available for pick-up Professionalism Demonstrate commitment and loyalty to the School and the teaching profession through speech, punctuality, dress, attitude, and attention to duties Present a consistent and reliable demeanor to students, parents and colleagues Collaborate with staff, co-workers, and administration in a cooperative, professional atmosphere Accept constructive feedback to affect personal and professional growth Develop and maintain professional competence and continuous improvement through active participation in professional development activities and/or professional organizations Attend and participate in faculty meetings and staff development activities, as required Comply with the policies in the Geneva School Employee Handbook Perform other duties as assigned Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
