Summary: The People Operations Specialist serves as the operational backbone of the People Team, ensuring employee lifecycle transactions are completed accurately, employee data is maintained with integrity, and People operations run efficiently. This role is responsible for administering employee changes within Human Resources Information System (HRIS) platforms, coordinating onboarding and offboarding activities, maintaining high-quality employee data, and supporting seamless People operations across the organization. Success in this role requires exceptional attention to detail, strong organizational skills, and a commitment to data accuracy and operational excellence. While this position is not responsible for HRIS configuration or system administration, it requires a high level of proficiency working within HRIS platforms and a passion for continuously improving processes. The role requires strong analytical and technical aptitude, with a focus on identifying opportunities to streamline manual processes, leverage technology and AI to improve efficiency, document standard operating procedures (SOPs), and partner across the People Team to create scalable, compliant, and employee-focused solutions. This role focuses on building structure, executing repeatable processes with exceptional accuracy, and continuously improving how work gets done through technology, automation, and thoughtful process design. What This Role Does: • Coordinates onboarding and offboarding activities, ensuring a seamless employee experience. • Processes employee lifecycle transactions, including hires, promotions, transfers, compensation changes, organizational updates, leaves, and terminations. • Prepares employment documentation, including offer letters, promotion letters, other role change and employee communications. • Serves as the primary administrator for HireRight and Samba Safety, coordinating background screenings, motor vehicle record (MVR) monitoring, I-9 verification, employment verification requests, and other required pre-employment and employment documentation while ensuring compliance and timely processing. • Partners with Payroll, IT, managers, and other stakeholders to ensure timely and accurate employee transactions. • Maintains accurate employee records and processes HR transactions within Dayforce and other People systems. • Conducts regular audits to ensure data accuracy, integrity, and compliance. • Maintains organizational data, state-specific onboarding forms, and other People records. • Supports routine reporting, data validation, and operational administration. • Continuously evaluates People processes to identify opportunities for simplification, automation, and improved efficiency. • Leverages HR technology, Dayforce functionality, AI, and other tools to streamline administrative processes and improve the employee experience. • Partners with HRIS, Payroll, IT, and other stakeholders to implement workflow improvements. • Develops and maintains SOPs and process documentation. • Participates in HR technology implementations, testing, and system enhancements. • Ensures compliance with federal, state, and local employment requirements and internal policies. • Maintains accurate documentation, audit trails, and required compliance records. • Supports internal controls, compliance initiatives, and quality assurance activities. • Responds to employee and manager inquiries in a professional and timely manner. • Collaborates with People Team, Payroll, IT, and other business partners to support People operations. • Contributes to cross-functional projects and other duties as assigned. What You Will Bring: • A high school diploma or equivalent is required. • A minimum of three (3) years of experience in an HR Coordinator, HR Specialist, People Operations Coordinator, or similar HR operations role. • Experience processing employee lifecycle transactions within an HRIS (Dayforce experience strongly preferred). • Demonstrated ability to identify opportunities to improve operational processes and increase efficiency. • Strong technical aptitude with the ability to quickly learn new systems and technologies. • Advanced proficiency in Microsoft Excel and Microsoft Office. • Exceptional attention to detail and organizational skills, with a proven ability to maintain data accuracy and confidentiality while managing multiple priorities and delivering outstanding internal customer service. • Attention to detail is incredibly important for this role. Preferred: • Experience supporting HR workflows and employee lifecycle processes within an HRIS. • Experience documenting business processes, workflows, or SOPs. • Experience using AI productivity tools (e.g., ChatGPT, Microsoft Copilot) to improve efficiency, documentation, or administrative workflows. • Experience participating in HR technology implementations, system enhancements, testing, or process improvement initiatives. • Experience creating and validating HR reports or supporting HR data audits.
