About the role
Primary Purpose The Maintenance Scheduler is responsible for planning, scheduling, and coordinating all maintenance work to ensure maximum equipment reliability, workforce efficiency, and minimal downtime. Core Responsibilities 1. Work Planning & Scheduling Develop daily, weekly, and shutdown schedules for maintenance activities Prioritize work orders based on: Safety Production impact Equipment criticality Ensure all required labor, materials, and tools are available before scheduling Sequence jobs to minimize downtime and conflicts 2. Work Order Management Review and validate incoming work orders from the CMMS (e.g., SAP PM, Maximo, Infor EAM) Ensure work orders include: Clear scope of work Estimated labor hours Required parts/materials Track backlog and maintain a healthy backlog (typically 2–4 weeks) 3. Coordination with Operations & Maintenance Work closely with: Operations (to align production schedules) Maintenance supervisors/foremen Attend daily/weekly planning meetings Coordinate equipment availability and downtime windows 4. Resource Allocation Assign labor based on: Skill set Availability Priority of work Optimize crew utilization and reduce idle time 5. Materials & Inventory Coordination Coordinate with procurement and warehouse teams Ensure parts are: Ordered Kitted Staged prior to scheduled work Avoid delays due to missing materials 6. Preventive & Predictive Maintenance Scheduling Maintain and schedule: Preventive Maintenance (PM) programs Predictive Maintenance (PdM) tasks Ensure compliance with OEM and regulatory requirements 7. Shutdown & Turnaround Planning Develop detailed schedules for: Planned outages Turnarounds (TARs) Coordinate contractors, materials, and timelines Track progress and adjust schedules as needed 8. Performance Tracking & Reporting Monitor KPIs such as: Schedule compliance (%) Equipment uptime Backlog levels Labor utilization Generate reports for management 9. Continuous Improvement Identify scheduling inefficiencies Improve planning accuracy and job estimates Support reliability initiatives (RCM, Lean, etc.
