ESSENTIAL JOB FUNCTIONS

The Director, Head of Marketing Operations & Chief of Staff is a strategic leadership role responsible for enabling a high-performing Marketing organization through operational excellence, portfolio governance, financial stewardship, organizational effectiveness, and executive leadership support. Reporting to the Senior Vice President, Marketing, this position serves as the operational leader responsible for running the business of Marketing.

The role acts as a strategic advisor and trusted partner to the SVP, Marketing and Marketing Leadership Team, ensuring that priorities are effectively planned, resourced, governed, measured, and executed. This leader establishes the processes, operating rhythms, governance frameworks, and performance management systems that drive alignment, accountability, and execution across the organization.

The Director, Head of Marketing Operations & Chief of Staff serves as the primary integrator across Marketing, partnering closely with Finance, Legal, Regulatory Affairs, Medical Affairs, Compliance, Human Resources, and Executive Leadership as needed to ensure organizational goals are achieved efficiently and compliantly.

Key Responsibilities

Pillar 1: Business Operations, Strategic Planning & Portfolio Governance (40%)

Lead the operational management of the Marketing organization by establishing planning processes, governance structures, prioritization frameworks, and portfolio management practices that ensure alignment with business objectives.

Responsibilities

  • Lead annual strategic planning, annual operating planning, and long-range planning processes for the Marketing organization.
  • Facilitate development of organizational goals, priorities, key initiatives, and performance measures.
  • Partner with Marketing Leadership Team members to align resources, capabilities, and investments against strategic objectives.
  • Establish and manage the operating cadence for Marketing, including leadership meetings, planning sessions, business reviews, and governance forums.
  • Develop portfolio governance frameworks that provide visibility into initiatives, investments, dependencies, timelines, and risks.
  • Create and maintain project prioritization and tiering methodologies to ensure resources are focused on enterprise and high-impact initiatives.
  • Partner with Project Managers and functional leaders to monitor project performance, remove barriers, escalate risks, and improve execution effectiveness.
  • Establish best practices, standards, tools, and governance processes for project and portfolio management.
  • Lead prioritization discussions and facilitate executive decision-making regarding competing business priorities.
  • Ensure strategic initiatives remain aligned with commercial goals, organizational objectives, and resource availability.

Pillar 2: Financial Planning, Forecasting & Performance Management (20%)

Provide leadership and oversight for budget planning, forecasting, investment management, reporting, and organizational performance measurement.

Responsibilities

  • Lead annual budget planning and resource allocation processes across Marketing.
  • Coordinate quarterly forecasting activities and ensure alignment with corporate financial objectives.
  • Partner with Finance and Marketing leaders to evaluate spending trends, identify risks, and optimize investments.
  • Ensure disciplined management of marketing budgets and operating expenses.
  • Establish organizational KPIs and performance measurement frameworks.
  • Develop and maintain executive dashboards, scorecards, and performance reporting tools.
  • Lead quarterly business reviews and organizational performance discussions.
  • Drive visibility into marketing performance, resource utilization, initiative progress, and business outcomes.
  • Provide strategic direction to the Marketing Analytics & Reporting Lead and dotted-line reporting resources.
  • Ensure consistency in reporting methodologies, metrics, and performance measurement across teams.
  • Deliver actionable insights and recommendations to support leadership decision-making.

Pillar 3: Governance, Compliance & Review Operations (20%)

Own the operational governance and continuous improvement of marketing review and approval processes to ensure efficiency, compliance, and transparency.

Responsibilities

  • Lead operational management of promotional review processes, including QS-18 requirements and external-facing marketing materials.
  • Facilitate review workflows among Marketing, Legal, Regulatory Affairs, Medical Affairs, and Compliance stakeholders.
  • Oversee intake, prioritization, routing, tracking, and reporting of materials through the review process.
  • Monitor review cycle times, workload capacity, bottlenecks, and process performance metrics.
  • Ensure adherence to governance standards, documentation requirements, and audit readiness expectations.
  • Develop reporting and dashboards that provide visibility into review and approval process performance.
  • Identify opportunities to streamline processes, improve efficiency, and reduce cycle times while maintaining compliance standards.
  • Serve as the primary operational liaison between Marketing and review partners.
