About the role

Apply today to work as an Office Specialist with Office of Communicable Diseases (OCD) within the Utah Department of Health and Human Services. In this position, you will provide customer service to the the general public while supporting OCD, the Office Director and OCD staff. Specifically you will be supporting the HIV/STD Elimination, Analysis, Response, and Treatment (HEART) by providing clerical support, coordinating travel arrangements, and providing meeting support, You will make a difference from day one! Duties Include: Alert director to staff recognition and other staff needs Capture action items Provide information and respond to inquiries or complaints from the public Coordinate and schedule projects and/or activities Relieve director of administrative detail Take meeting notes Create and edit written materials Coordinate/schedule meetings, meals, equipment, etc Maintain calendars, schedules and coordinate appointments and travel arrangements Examples of Tasks Purchasing, shipping, performing routine accounting duties. Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, and members of the public. Reviews incoming correspondence; initiates replies as appropriate; routes matters requiring action by staff or other organizations and follows up to ensure actions are completed. Schedules and/or coordinates appointments, meetings, facilities, meals, equipment, etc. and follows up as needed. Performs basic accounting duties to include supply or equipment expenditures, tracking of inventory, etc. Supplemental Information The typical office setting for this job is adequately lighted, heated and ventilated. However, you may encounter some risks that are associated with any office setting, for example, the safe use of office equipment, avoiding trips and falls, observing fire regulations, etc. Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work. This position may currently be a hybrid of both in-office and remote work days. An offer of employment will be contingent on the applicant successfully passing a DHHS background check. DHRM Rules apply to current state employees for promotions and transfers. Standard Schedule: Monday - Friday, 8:00 am to 5:00 pm.
