Keeley Construction is looking to hire a Senior Fleet Administrator to support our Shop Operations in St. Louis, MO.
Primary Responsibilities
- Coordinate daily dispatch and scheduling of trucks, equipment, and third-party transportation resources.
- Dispatch vehicles and equipment to job sites while managing deliveries, pickups, transfers, and rental logistics.
- Communicate scheduling updates and changes with field personnel, project teams, customers, and vendors.
- Maintain accurate customer, vendor, employee, and equipment records within company systems.
- Process daily field paperwork and ensure timely, accurate data entry into software systems and spreadsheets.
- Support fleet administration by maintaining equipment assignments, registrations, insurance, inspection records, license plates, and IFTA documentation.
- Coordinate equipment rentals, returns, transportation logistics, and fleet billing support.
- Manage office administration, including filing systems, office supplies, building invoices, maintenance coordination, and vendor services.
- Assist management with reporting, payroll documentation, calendars, departmental scheduling, and administrative projects.
- Identify opportunities to improve dispatch, fleet coordination, and administrative processes while ensuring documentation is accurate and completed on time.
Minimum Qualifications
- High school diploma or GED required; degree in business administration, logistics, or a related field preferred.
- Minimum of 3 years of experience in dispatching, fleet coordination, administrative support, or a related role.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) with experience using dispatch, fleet management, ERP, or other business software preferred.
- Strong organizational, multitasking, and communication skills with the ability to manage competing priorities in a fast-paced environment.
- Strong attention to detail with accurate data entry, recordkeeping, and documentation skills.
- Ability to work independently and collaboratively while maintaining professionalism with employees, vendors, and customers.
