Job overview :

The Executive Assistant will provide high-level administrative and coordination support to the VP, HEOR, VP, Market Access and VP, Patient Engagement.

This role will help ensure smooth day-to-day executive operations, efficient prioritization across complex calendars and travel schedules, and effective coordination of meetings, communications, and key business processes in a fast-paced, matrixed environment.

Location: Hybrid in New York City / New Jersey, US.

Reports to: Vice-President, HEOR.

Roles and responsibilities ( Include but are not limited to ):

  • Manage complex calendars, prioritise competing requests, and coordinate meetings across multiple senior leaders
  • Arrange domestic and international travel, accommodation, transport, and related itineraries
  • Prepare meeting materials, coordinate agendas, take notes where required, and track follow-up actions
  • Maintain accurate records, manage the execution and storage of key documentation, and support document retrieval when needed
  • Support expenses, purchase-related administration, and invoice or vendor coordination in line with internal processes
  • Coordinate team events, offsites, and internal engagement activities
  • Liaise with new vendors and support accounts payable or vendor verification processes as required
  • Adhere to relevant standard operating procedures, confidentiality requirements, and internal policies
  • Provide responsive day-to-day administrative support to the VP, HEOR and other VP stakeholders as needed

Candidate Profile:

  • Proven experience supporting senior executives in a fast-paced, matrixed environment
  • Strong diary management and prioritization skills, with the ability to manage multiple stakeholders and shifting demands
  • Highly organized, proactive, and able to work independently with excellent attention to detail
  • Strong written and verbal communication skills, with confidence coordinating across internal and external stakeholders
  • Comfortable handling confidential information with discretion and professionalism
  • Proficient in standard business tools such as Outlook, Teams, PowerPoint, and expense systems
  • Collaborative team player who demonstrates alignment with our values and a commitment to working in a supportive, purpose-driven culture vendors and accounts payable in relation to vendor verification calls
