About the role
Position Purpose: The purpose of this position is to work closely with Product Services management to monitor the ministry’s onsite shipping and receiving operations with a high level of integrity and a sharp strategic mind. The primary duties associated with this position are guiding, directing, and facilitating the day-to-day operations in the shipping receiving area including, supervising and coordinating activities of clerks engaged in verifying and keeping records on incoming and outgoing shipments, and preparing items for shipment: studies shipping notices, bills of lading, invoices, orders, and other records to determine shipping priorities, work assignments, and shipping methods required to meet shipping and receiving schedules; utilizing knowledge of shipping procedures, freight logistics, and rates. Key Duties: Coordinates all orders, mailing requirements, and invoice reports, including weekly and monthly Marketing mail, which is processed and shipped in the given time frame established by the Product Services Management to maximize productivity and efficiencies while maintaining Quality Assurance standards. Ensures proper processes in managing our current shipping vendors, new vendor prices, and that the best practices of shipping methods are accounted for and accurate. Create, assist in, and maintain management reports as requested and oversee reports from Specialists. Quickly identify problems and develop solutions to solve issues promptly. Have a can-do attitude to assign and prioritize daily job duties as needed to be flexible with the ministry’s needs and department's goals. Plan and direct the shipping/mailing of monthly “Partner” mailings within an acceptable time frame, utilizing the Meetings/Partnership Coordinator. Conduct regular maintenance inspections of all packing equipment to maintain proper operations and identify any potential issues that may need addressing for safety and efficiency. Work closely with the Fulfillment Lead and Meetings/Partnership Coordinator on all event orders to ensure proper handling and shipping methods are done and orders are on schedule for timely deliveries. Place assigned product PO orders to vendors as needed for raw materials stock, and maintain a positive and professional relationship with all vendors. Oversees incoming and outgoing shipping activities to ensure accuracy, completeness, and condition of shipments. Responsible for cleanliness and providing a safe work environment in the area. May assist clerks in shipping and receiving activities. Cross collaborates with your department’s supervisors on solutions, process improvement, and challenges. Thinking globally and outside of the box is necessary. Playing a lead role in team morale, company initiatives, department goals, and team engagement. Responsible for scheduling, coaching, training, and discipline. Responsible for conflict resolution and leadership development of assigned associates using the ministry's internal training processes. Responsible for research and implementation of necessary solutions to maintain productivity.
