Role Summary: The Supply Chain Coordinator is a key contributor to the efficiency, reliability, and responsiveness of Heven Aerotech's supply chain operations. This role is responsible for supporting the end-to-end flow of materials, components, and finished goods across the organization to ensure production continuity and customer delivery commitments are met. Reporting directly to the Director of Logistics, the Supply Chain Coordinator will manage day-to-day procurement and materials coordination activities, maintain supplier relationships, oversee inventory accuracy, and assist with inbound and outbound logistics. The ideal candidate is highly organized, detail-oriented, and capable of working cross-functionally in a dynamic aerospace manufacturing environment where quality, traceability, and compliance are essential. This position requires a proactive professional who can anticipate supply risks, resolve operational issues quickly, and contribute to continuous improvement efforts that strengthen supply chain performance, reduce cost, and support business growth.
Essential Responsibilities:
- Coordinate the creation, issuance, and follow-up of purchase orders for raw materials, production components, tooling, and MRO supplies in alignment with production schedules, forecasted demand, and project requirements.
- Serve as a day-to-day point of contact for approved vendors and suppliers, helping to build strong working relationships that support quality, responsiveness, and dependable service.
- Monitor supplier performance across key measures such as on-time delivery, lead time adherence, quality performance, pricing, and responsiveness, and escalate issues when necessary.
- Source alternative or new suppliers as needed to support business continuity, cost competitiveness, and capacity requirements, while assisting with supplier qualification and onboarding processes.
- Work closely with internal stakeholders to ensure purchased materials meet technical specifications, quality standards, and aerospace compliance requirements.
- Track supplier commitments and proactively identify potential delivery delays, shortages, or cost impacts, communicating risks and recovery plans to the Director of Logistics and relevant teams.
- Support quote collection, bid comparisons, and purchasing analysis to improve sourcing decisions and supplier value.
- Maintain accurate inventory records within the company's ERP/MRP system, ensuring material transactions, receipts, issues, adjustments, and transfers are recorded correctly and in a timely manner.
- Perform regular cycle counts and reconciliation activities to identify discrepancies, investigate root causes, and improve inventory accuracy.
- Monitor stock levels, usage trends, reorder points, and safety stock requirements to ensure material availability while minimizing excess and obsolete inventory.
- Coordinate replenishment activities for purchased and stocked items to prevent shortages that could disrupt manufacturing or customer deliveries.
- Partner with warehouse and operations teams to ensure proper storage, identification, traceability, and handling of aerospace materials and components.
- Support physical inventory counts, internal audits, and inventory control initiatives designed to strengthen material accountability and system accuracy.
- Assist in managing nonconforming, damaged, or returned materials by coordinating with suppliers, quality, and warehouse personnel as needed.
- Coordinate inbound and outbound shipments, including scheduling, shipment tracking, carrier communication, and preparation of required shipping and receiving documentation.
- Assist with domestic and international freight activities, including commercial invoices, packing lists, shipping records, and other supporting documents as required.
- Collaborate with Engineering, Production, Quality, Finance, and Program Management to align supply chain activities with production priorities, program milestones, and customer commitments.
- Track open purchase orders and expedite critical material deliveries to support manufacturing schedules and prevent line-down situations.
- Resolve shipment discrepancies, receiving issues, invoice mismatches, and supplier fulfillment problems in a timely and professional manner.
- Support logistics planning for product deployments by helping coordinate packaging requirements, transportation arrangements, documentation accuracy, and export-related processes.
- Help ensure that logistics activities are executed in accordance with company procedures and applicable regulatory requirements.
- Generate and maintain recurring supply chain reports for the Director of Logistics, including updates on purchase order status, inventory health, supplier performance, and material availability.
- Assist with the preparation, monitoring, and analysis of key performance indicators (KPIs) such as on-time delivery, supplier lead time, inventory turns, stockout frequency, purchase price variance, and cost savings.
- Identify workflow inefficiencies, recurring supply issues, and process gaps, and recommend practical corrective actions to improve operational performance.
- Support Lean, Six Sigma, and continuous improvement initiatives focused on reducing waste, improving data accuracy, shortening lead times, and increasing service levels.
- Maintain a high degree of data integrity across ERP and supply chain systems by ensuring records are accurate, current, and properly documented.
- Participate in process documentation, standard operating procedure updates, and cross-functional improvement projects as assigned.

Required:
- Bachelor’s degree in supply chain management, Business Administration, Operations, or a related field, or an equivalent combination of education and relevant experience.
- Minimum of 2 years of experience in supply chain, procurement, inventory control, logistics, or materials coordination roles.
