In This Role

You will provide administrative and operational support to a newly formed organization focused on AI and business productivity solutions. You will partner with leadership administrators and director-level stakeholders to coordinate schedules, events, team activities, workplace needs, and other day-to-day operations. Responsibilities

  • Manage calendars and coordinate meetings for individual leaders and broader teams
  • Schedule appointments, resolve calendar conflicts, and communicate scheduling updates to stakeholders
  • Coordinate team meetings, events, and employee engagement activities
  • Support travel planning and related administrative arrangements
  • Assist with hardware requests, storage needs, facilities coordination, and workplace operations
  • Provide administrative support to director-level stakeholders and leadership administrators
  • Help coordinate departmental financial, personnel, and operational activities
  • Respond to team requests with professionalism, transparency, and a service-oriented approach
  • Partner with multiple stakeholders to ensure administrative needs are addressed efficiently
  • Support special projects and evolving business priorities as assigned

Qualifications

  • 2–4 years of experience in communication, team support, and calendar management
  • Strong written and verbal communication skills
  • Proficiency with Outlook and other standard office productivity tools
  • Demonstrated ability to coordinate schedules, meetings, and team activities
  • Strong customer service and problem-solving skills
  • Ability to collaborate effectively with team members and multiple stakeholders
  • Highly organized with strong attention to detail and follow-through
  • Professional, dependable, and transparent communication style
  • Ability to manage changing priorities in a growing organization
