About the role

Position Summary The Executive Assistant & Business Operations Coordinator serves as a trusted partner to the India Business Leader, providing executive support, project coordination, reporting and analytics, governance management, and workplace coordination. The role requires exceptional organizational skills, executive presence, business acumen, and the ability to manage multiple priorities in a fast-paced environment. The incumbent will play a critical role in ensuring seamless executive operations, driving accountability across key business initiatives, supporting data-driven decision-making, and enabling the efficient functioning of the India office. Key Responsibilities Executive Leadership Support • Manage a complex executive calendar, ensuring optimal prioritization of meetings, business reviews, leadership engagements, and travel schedules. • Coordinate domestic and international travel, accommodations, itineraries, and logistics. • Prepare executive presentations, reports, meeting agendas, briefing notes, and business communications. • Act as a key point of contact between the India Business Leader and internal and external stakeholders. • Screen, prioritize, and manage communications requiring executive attention. • Maintain confidentiality while handling sensitive business, organizational, and personnel information. • Support planning and execution of leadership visits, employee forums, town halls, and strategic business meetings. • Assist with key projects for Workplace Management, coordinating with Facilities department, vendors and colleagues as needed. Meeting & Governance Management • Coordinate leadership meetings, operating reviews, governance forums, and business reviews. • Capture meeting minutes, decisions, and action items, ensuring timely follow-up and closure. • Track commitments and follow up with stakeholders to ensure timely execution of agreed actions. • Maintain governance trackers and executive dashboards to support business reviews and decision-making. Project Management & Strategic Initiatives • Support planning, coordination, and execution of strategic and operational projects with Manager. • Develop and maintain project plans, timelines, milestones, action trackers, and risk logs. • Coordinate cross-functional teams to ensure alignment and timely delivery of project objectives. • Monitor project status, dependencies, and risks, escalating issues appropriately. • Prepare project updates, executive summaries, and status reports for leadership reviews. • Drive accountability and follow-through across key business initiatives. • Support process improvement initiatives and implementation of best practices. Reporting & Analytics • Develop and maintain leadership dashboards, scorecards, and business reports. • Consolidate data from multiple sources to provide meaningful insights and executive-level reporting. • Create visualizations and presentations using Power BI and/or Tableau. • Support business reviews by tracking KPIs, deliverables, and operational metrics. • Analyze trends and provide actionable insights to leadership. Administrative & Operational Support • Manage expense reporting, invoice tracking, approvals, and budget administration. • Maintain organized records, documentation, and executive files. • Coordinate special projects and assignments on behalf of the India Business Leader. Required Qualifications • Bachelor’s degree in Business Administration, Management, Operations, or a related field. • 5–8 years of experience supporting senior executives, business leaders, or leadership teams. • Experience coordinating projects, business initiatives, and cross-functional programs. • Strong organizational, planning, and multitasking abilities with exceptional attention to detail. • Excellent verbal and written communication skills. • Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, Word, and Microsoft Teams. • Proficiency in Power BI and/or Tableau for dashboard creation, reporting, and executive-level data visualization. • Strong analytical and problem-solving skills. • Ability to manage confidential information with the highest level of discretion. • Proven stakeholder management skills with the ability to influence and coordinate across functions. Preferred Qualifications • Experience supporting C-suite executives, country leaders, or senior business leaders. • Project Management certification (PMP, CAPM, Agile, PRINCE2, or equivalent). • Experience with project management and collaboration tools such as Microsoft Planner, Smartsheet, Jira, Asana, or Monday.com. • Experience creating executive dashboards, KPI scorecards, and business review materials.
