JOB PURPOSE

We’re looking for a passionate eager to learn Resource Manager to join our EMEA resourcing team for our Experience & Engineering supporting DACH Team (Across Germany and Switzerland) and other EMEA-wide tasks. This role is essential in ensuring efficient resource allocation, optimizing utilization, and aligning with business growth in a fast-paced digital environment.

You’ll be responsible for supporting other Resource Managers matching the right talent to the right projects - balancing team skills, availability, and project needs to deliver high-quality work, on time and on budget. This includes managing billable headcount, supporting dynamic staffing needs, and planning ahead with the Commercial team to align with the business pipeline.

A basic understanding of digital project delivery (e.g., websites, e-commerce, mobile apps) and the roles involved - such as UX/UI Design,Strategy, Engineers, QA, Devops , among others.

WHAT YOU'LL DO

Key Responsibilities:

Resource Planning Support

  • Support the Senior Resource Manager in tracking and updating resourcing requests across Experience & Engineering teams
  • Help monitor capacity and utilization data for assigned accounts, flagging over/under-allocation to the Senior RM
  • Update staffing plans and allocations in the system as directed by senior team members

Demand Forecasting Support

  • Update the resourcing tool with forecast information provided by the Senior RM and Project Managers
  • Keep forecast data current and organized so it's ready for review
  • Support bench reporting by pulling and organizing data on available resources

Cross-Regional Coordination

  • Support the Head of RM with cross-regional accounts by understanding resource requests and following up with other RMs to check availability across markets
  • Support the search and onboarding of freelancers and partners when needed
  • Support freelance tracking across EMEA

Stakeholder Support

  • Act as a day-to-day point of contact for basic resourcing questions from Project Managers and Craft Leads, escalating complex issues to the Senior RM
  • Help prepare materials and updates for stakeholder meetings
  • Support communication between resourcing and delivery teams

Issue Flagging & Follow-Up

  • Identify and flag potential scheduling conflicts or resourcing risks to the Senior RM
  • Help track resolution of conflicts and follow up to ensure changes are implemented correctly

Reporting & Data Maintenance

  • Maintain accurate and up-to-date data in resource management tools (e.g., Resource Guru)
  • Support time tracking and allocation compliance by following up with teams on missing entries
  • Pull and organize reports on utilization, capacity, and bench/freelance ratios for the Senior RM
  • Assist in preparing regular reporting summaries for leadership review

WHAT YOU'll BRING

Experience & Background

  • 1–2 years of experience in Resource Management, Project Coordination, or a related administrative/support role, ideally within a digital agency or product environment
  • Exposure to working across multiple markets or cultures is a plus (EMEA experience is a plus)

Digital & Technical Understanding

  • Basic familiarity with digital roles (Backend, Frontend, DevOps, QA, Business Analysis, UX/UI, Project Management)
  • General understanding of digital product delivery (web, e-commerce, mobile) and how cross-functional teams work together
  • Willingness to learn how project needs translate into staffing plans

Analytical & Tools

  • Good attention to detail and comfort working with data and spreadsheets
  • Proficiency in Excel; experience with reporting tools like Power BI is a plus
  • Experience with resource management tools (Resource Guru) is a plus, but not required

Stakeholder Management & Communication

  • Good communication and interpersonal skills, comfortable interacting with colleagues at different levels
  • Comfortable working cross-functionally and asking questions when needed
