We are hiring an Administrative Assistant who will be a critical partner in ensuring our team’s continued success in our ABA Center in Randolph, MA. What You'll Do • Maintain and organize data to ensure accurate reporting and tracking • Answers phone, forwards calls, and takes messages as needed • Greets visitors and directs them as appropriate • Prepare outgoing mailings, including certified mail and overnight packages • Make photocopies and transmit faxes as requested • Ensures that all office equipment is in working condition • Track, order, and distribute office supplies and beverage supplies • Maintain a clean, organized, and sanitary clinical environment through the completion of daily, weekly, and monthly facility maintenance and cleaning tasks • Ensure a safe and secure program environment by conducting monthly safety inspections, coordinating emergency preparedness activities, and overseeing required emergency drills • Manage daily staff and client scheduling to support efficient center operations, maintain appropriate coverage, and address staffing needs in real time • Provide direct clinical support and session coverage as needed to ensure continuity of services and minimize disruptions to client programming • Coordinate transportation services with external vendors, families, and staff to support timely and reliable client arrivals, departures, and schedule changes What you'll Bring • 2+ years of experience working in an administrative capacity • Associates or Bachelor’s degree preferred, or equivalent work experience • Moderate to advanced skills in Microsoft Excel, Teams, and Word • Proven excellent verbal and written communication skills • Impeccable time management while managing competing priorities • Relentless attention to detail • Experience with Canva, Adobe Suite, Constant Contact, content management systems, and social media management is a huge plus Why Join Us • Generous Paid Time Off: Enjoy ample vacation time along with 10 paid holidays • Comprehensive Health Benefits: Get covered with competitive medical, dental, and vision insurance • Investing in Your Growth: Take advantage of paid training and certification opportunities to level up your skills • Support When You Need It: Access our Employee Assistance Program (EAP) for confidential support and guidance • Investing in Your Education: Pursue your educational goals with our tuition reimbursement and loan repayment assistance programs • Secure Your Future: Plan for retirement with confidence through our 403 (b) retirement plan with employer match Compensation: $21.00-$22.00 hourly rate Let's create something extraordinary together!
