JOB STATEMENT The Booking Manager is responsible for supporting the general management of the Education & Community Engagement (ECE) department, with a particular focus on sales, marketing and communications, and data management for ECE’s comprehensive suite of school and community programs. Reporting to the ECE Chief Administrative Officer (CAO), this position is responsible for the booking of all student matinees and touring performances. Booking Manager works closely with ECE Leadership and the Alley’s Marketing and IT Departments to build and carry out a season sales and marketing plan, facilitate programming, and strategize new opportunities. JOB DUTIES Sales & Logistics Manage the sales/booking and logistical coordination of all Alley Theatre Student Matinees and Alley Transported tours (currently 2 per year) according to capacity and income goals. Coordinate logistics and communication among schools/touring venues and stage managers or program staff. Support the management of accounts receivable; including processing district paperwork, creating and sending booking agreements and invoices, and executing transactions in Tessitura. Working with Guest Services to support activities that provide increased access to theatre for all community members, including special populations. Represent the organization at events and in community spaces that support the department’s sales and outreach efforts. Marketing & Communications Cultivate and manage relationships with schools, districts, and community partners to grow participation and enhance impact. Work with CAO to maintain a season marketing plan that encompasses the needs of each ECE program. Serve as the primary liaison to the Alley’s Marketing Department, overseeing the planning, implementation, and maintenance of ECE’s marketing needs, including but not limited to: website updates, e-blasts, direct mail, social media and blog posts, templates, and digital and print material. Be on-hand as needed for various Alley Theatre and ECE events, with primary responsibility for ticketing. Data Management Serve as the ECE Department’s lead Tessitura database user, including the building of all programs on a season and event basis, as well as attending Tessitura meetings and contributing to the department’s Tessitura strategy. Oversee the management of ECE contacts (individuals, schools, districts and community organizations) in Tessitura and email systems. Oversee systems to track registrations using Tessitura, Excel, and forms as applicable. Support the ECE staff’s collection of timely qualitative and quantitative program assessment, such as delivery numbers and participant feedback. Support the program staff’s creation and delivery of surveys through Survey Monkey and Microsoft Forms. Support the development and maintenance of the department’s Annual “Rainbow Chart” Additionally, Manager will assist with broader departmental activities such as summer camps, on-site tours and workshops, and public events as warranted.
