The Advisory Department of one of the fastest-growing accounting firms in the country is seeking an Executive Assistant who is motivated to learn, excited to collaborate and passionate about delivering outstanding results. The Executive Assistant must maintain a mature, professional demeanor while projecting self-confidence when addressing questions and handling matters involving internal and external clients. This position manages a variety of tasks simultaneously and can anticipate the needs of others while constantly seeking opportunities to improve workflow and efficiencies for their assigned leaders and the Firm as a whole. This position performs administrative work of considerable difficulty which may involve critical thinking, problem solving and independent judgment. The Executive Assistant must also be able to manage projects, work independently with little or no supervision , and manage their time accordingly.
What You’ll Do:
- Provide administrative support to leaders in the Advisory business units working with their teams
- Assist in the preparation of statements of work and engagement letters
- Assist in maintaining the CRM database on behalf of Advisory leaders
- Assist in managing calendars, tracking schedules, arranging travel, coordinating speaking and client engagements, etc. for respective Advisory leaders
- Set up portals and manage document downloads
- Prepare invoices, billing statements and maintain billing records
- Process Firm correspondence
- Complete onboarding steps for Advisory leaders
- Proofread reports making necessary edits to formatting, punctuation, and grammar
- Draft correspondence and other forms of documentation using the Firm’s standardized formats
- Serve as a liaison between Advisory leaders and respective client groups
- Participate in various Firm initiatives to identify areas of improvement and to build efficiencies for the Firm as a whole
