About the Role
We're looking for a highly organized, proactive, and detail-oriented Executive Assistant to support the Executive Leadership Team. In this role, you'll manage day-to-day operations for approximately 8 executives, including scheduling, travel, and expenses, while also providing backup support to the CEO's office.
This role is ideal for someone who enjoys executive support as a long-term career path and takes pride in being a trusted partner to senior leaders. Success in this role requires strong judgment, adaptability, and the ability to confidently manage competing priorities in a fast-paced environment.
What You'll Do
- Manage complex calendars across multiple time zones
- Coordinate internal and external meetings, ensuring alignment across stakeholders
- Plan and execute domestic and international travel end-to-end
- Prepare and track expense reports in partnership with Finance
- Provide backup support for the CEO's office during peak periods
- Support executive meetings, off-sites, and team events
- Draft professional communication (email, Slack) and handle sensitive information with discretion
- Adapt your support style to meet the preferences and working styles of different executives
- Exercise judgment and make recommendations when priorities compete or information is incomplete
- Identify and improve processes to make executive support more efficient
What You Bring
- 7+ years of experience in executive or administrative support
- Experience supporting multiple senior stakeholders simultaneously in a fast-paced environment
- Strong organizational skills and exceptional attention to detail
- Ability to prioritize and manage competing demands with minimal oversight
- Excellent written and verbal communication skills
- Experience with tools such as Outlook and expense management systems (e.g., Concur)
- Strong judgment and discretion when handling confidential information
- Ability to adapt to different executive working styles and preferences
- Comfort operating in situations where priorities may shift and information may be incomplete
- Flexibility to support occasional urgent travel or executive-related matters outside of standard business hours
