Job Summary: The Psych Medical Assistant II (Psych MAII) provides administrative and clinical-support functions aligned to the operational needs of the psychiatric team, supporting both providers and supervisors across NOAH's psychiatric sites. Reporting directly to the Psychiatry Operations Manager, the Psych MAII is central to keeping provider panels current, ensuring visit readiness, and maintaining compliance with organizational and departmental wide training, employee health, and privileging/credentialing requirements. The role also provides cross-site coverage through a scheduled weekly clinic rotation. Duties/Responsibilities: Panel & In-Basket Management Supports psychiatric provider panels through panel maintenance and patient outreach. Works assigned provider in-baskets, ensuring they are reviewed and updated daily. Sends daily reminders to providers and staff to keep in-baskets and outstanding items current. Visit Readiness & Order Verification Verifies that all orders required for MA visits are in place prior to the visit, including urine drug screens (UDS), vitals, and injections. Confirms visit prerequisites are complete so providers and supervisors can rely on accurate, ready-to-go MA visits. Flags missing or discrepant orders to the appropriate provider or supervisor for timely resolution. Training & Compliance Tracks staff training, privileging/credentialing, and compliance requirements for the psychiatric team. Notifies staff of items coming due and follows up to confirm completion. Escalates incomplete or overdue items to the Psychiatry Operations Manager. Maintains organized, current records of completion status for audit and reporting purposes. Respiratory Fit-Testing Maintains certification to perform respirator/mask fit-testing for the psychiatric team in accordance with OSHA respiratory-protection requirements. Coordinates and documents fit-testing to keep team members in compliance. Cross-Site Support Rotates to a different clinic once weekly to support on-site staff and maintain consistent operations across sites. General Performs other duties as assigned by the Psychiatry Operations Manager. Bridges the gap between supervisors and frontline staff. Enhances team performance through hands-on training and ensures consistent, high-quality support across psychiatric clinics. Performs regular internal audits on departmental processes and procedures. Provides consultation on complex projects and is considered a top-level contributor regarding EHR systems or other related department systems, including systems training and processes. Works in a team model to improve the patient's experience, provide clear communication and access to care, and support processes that will improve patient satisfaction. Serves as the next escalation point for clarification and/or resolution for patients, employees, and providers. Serves as a back-up during the absence of clinic leadership Steps in as back up MA coverage as needed Attends, participates, and/or assists in meetings, trainings, community outreach activities, continuing education opportunities, and other activities as required. Performs other related duties as assigned.
