Resignation Letter Format: 5 Templates That Lock In Your Last Day

Praxy leans on a giant rubber stamp to print LAST DAY onto a calendar page pinned to a resignation letter, while a sealed envelope and a coin wait past the open office door.

The right resignation letter format is short and boring on purpose: the date, a clear subject line, one sentence saying you resign, your notice period and exact last working day, a handover offer, a request for your relieving letter and settlement, and a thank-you. This guide is for India first, where notice periods run long and the relieving letter matters, with a short US note at the end. The people and companies in the templates are illustrative; swap in your own details.

Here's the formal version most people need:

Template 1: Formal resignation letter (India, full notice)

Date: 16 October 2026

To: Meera Kulkarni, Engineering Manager, [Company name], Bengaluru

Subject: Resignation: Ananya Iyer, Senior Software Engineer (Employee ID 40217)

Dear Meera,

Please accept this letter as formal notice of my resignation from the position of Senior Software Engineer. As per my appointment letter, my notice period is 60 days, and I propose 14 December 2026 as my last working day.

I will hand over the payments-API work in full and share a written handover plan by 23 October.

Please confirm my last working day in writing, and let me know the timeline for my full and final settlement, relieving letter and experience letter.

Thank you for the last three years. I've learned a great deal on this team.

Regards, Ananya Iyer

The six lines HR actually needs:

  1. "Resignation" and your role, in the subject line.
  2. A plain statement that you resign, with today's date.
  3. Your notice period, quoted from your contract.
  4. Your last working day, as a calendar date.
  5. A handover commitment with one concrete date.
  6. A request to confirm the last day, the settlement, and the relieving letter.

Here's what most people get wrong. They treat the letter as a goodbye note: a place to explain why they're leaving, thank everyone by name, maybe settle a score. It isn't. It's a dated record in your HR file. It starts the notice clock, fixes your last working day in writing, and becomes the document your relieving letter, your full and final settlement, and any later dispute get decided against. Write it for the file, not for your feelings.

What is the correct resignation letter format?

One page: date, addressee, subject line, and four short paragraphs covering the resignation, the handover, the paperwork, and the thanks. Every line fixes a date or asks for a document.

Under the four labor codes, India's government promises mandatory appointment letters to all workers, with the codes effective from 21 November 2025. Your notice period is usually in that letter or your offer letter. Quote it exactly.

Line in the letterWhat to writeWhy it matters
DateThe day you send itYour notice clock usually starts here
Subject"Resignation: [Name], [Role]"Gets it filed as a resignation, not a chat
Opening sentence"Please accept this as notice of my resignation"Removes any doubt that you've resigned
Notice period and last dayContract number plus one calendar dateThe most disputed fact at exit
HandoverOne task, one dateGives your manager a reason to agree to your date
Paperwork requestLast day confirmation, settlement, relieving letterPuts the documents you need on the record
ThanksOne or two sentencesOptional legally, useful for references

How do you write a resignation email, and what subject line works?

Write the resignation email like the letter, only shorter, with a subject line HR can't misread: "Resignation: [Your name], [Role]". Send it from your work account to your manager, and copy HR if your policy asks.

Email is a normal way to resign. In Air India Express v Gurdarshan Kaur Sandhu (2019), a captain tendered her resignation by an e-mail dated 3 July 2017, and the dispute that followed was about withdrawal, not whether an email counts. Your HR policy may also want a portal submission or signed copy.

Template 2: Short resignation email (India, 30-day notice)

Subject: Resignation: Rohit Sharma, Account Manager

Hi Nikhil,

I'm writing to formally resign from my role as Account Manager. This email is my notice, dated 19 October 2026. My notice period is 30 days, so my last working day will be 17 November 2026.

I'll hand over my eight client accounts with notes and intro calls by 10 November. Could you confirm my last working day and share the process for my full and final settlement and relieving letter?

Thanks for your support over the past two years.

Best, Rohit

How do you state your last working day and notice period?

State both: the notice period as your contract words it, and the last working day as a calendar date. Never write only "as per company policy"; that leaves your exit's most important fact for someone else to decide.

Weak version: "I hereby resign from my post and will serve my notice period as per company policy. Kindly relieve me at the earliest."

Strong version: "Please accept this as notice of my resignation, dated 16 October 2026. My notice period is 60 days as per my appointment letter, so I propose 14 December 2026 as my last working day. Please confirm this date in writing."

The weak version fixes no date. The strong one gives HR a date to accept or correct before anyone has a reason to argue.

Some employers count the day you resign as day one and others start the next day, so ask HR how yours counts, in writing. A 2023 practice note from Nishith Desai Associates backs the in-writing habit: if you offer more notice than your contract needs and the employer doesn't want it all, it should say so when accepting, and you should confirm the revised period.

For notice length, buyouts and state law, see our guide to how notice periods work in India. The letter just has to quote yours correctly.

Can you resign with immediate effect?

You can ask to, but in most private jobs you can't make it happen alone. Immediate release usually needs your employer's agreement, often with a buyout of the unserved notice. So write it as a request, not an announcement.

If you just walk out, the money follows you. The same practice note says that when an employee fails to serve notice, the employer typically withholds or recovers the notice period pay from the full and final payment, though it calls that practice's enforceability "questionable," and it says a court is unlikely to stop you joining another company. That analysis predates the codes taking effect, so treat it as how employers behave, not the current rule. Your relieving letter is the real hostage.

Template 3: Resignation with request for early release (India, 90-day notice)

Subject: Resignation and request for early release: Karthik Menon, Business Analyst

Dear Sunita,

Please accept this letter, dated 15 October 2026, as formal notice of my resignation from the role of Business Analyst. My contractual notice period is 90 days, which makes my last working day 12 January 2027.

I'd like to request release on 30 October 2026. My handover plan is attached: client reporting moves to Divya by 23 October, and the process documentation is complete. If any notice remains unserved, I'm happy to settle it as a buyout from my full and final settlement.

Could you confirm my release date, any buyout amount, and that my relieving letter will be issued on my last working day?

Regards, Karthik Menon

A buyout without the relieving letter in the same written deal can leave you paying and still waiting.

What should a fresher or someone on probation write?

The same format, shorter. Quote the probation notice period, not the post-confirmation one, and ask about any bond so HR has to address it.

Template 4: Fresher resignation letter (India, during probation)

Date: 20 October 2026

Subject: Resignation: Sneha Patil, Graduate Engineer Trainee (Employee ID GET-2611)

Dear Sir or Madam,

I am resigning from my position as Graduate Engineer Trainee. As I am on probation, my notice period under my offer letter is 30 days, and my last working day will be 18 November 2026.

I will complete my quality-audit assignment and hand over my files to Mr. Deshpande before that date. Please let me know whether any training agreement applies to my exit, and how my full and final settlement and relieving letter will be processed.

Thank you for the opportunity to start my career here.

Sincerely, Sneha Patil

On a fixed-term contract? Check the gratuity math before you pick a date: the government says fixed-term employees become eligible for gratuity after one year of continuous service, instead of five. In an industrial establishment with 300 or more workers, your employer's standing orders under the Industrial Relations Code may also set the process, since termination of employment and the notice to be given by workers is one of the matters they must cover.

Should you give a reason, or just say thank you?

Skip the reason, or keep it to one neutral line like "I've accepted a role that's a step forward for my career." Do say thank you. The letter is permanent, and its tone is what people remember.

How you leave travels. In an OfficeTeam survey of more than 600 HR managers in the US and Canada, 53% said how an employee quits somewhat affects their future career opportunities, and one-third said it has a great effect. It's a 2015 staffing-firm survey, not India data, so hold it loosely. But your next employer may call people who never appear on your reference list. The honest reason belongs in your next interview, where you'll need an answer to "why are you leaving?" anyway.

Template 5: Resignation letter with gratitude (India, long tenure)

Date: 2 November 2026

To: Rajesh Agarwal, Director, [Company name], Indore

Subject: Resignation: Farhan Qureshi, Marketing Executive

Dear Mr. Agarwal,

Please accept this letter as notice of my resignation from the role of Marketing Executive. My notice period is 30 days, and my last working day will be 1 December 2026.

Five years ago you hired me with no experience and gave me the distributor launch in my first month. Most of what I know about selling, I learned on that project. Thank you.

I'll document every distributor contact before I leave and help train my replacement. Please confirm my last working day and the timeline for my settlement and relieving letter.

With gratitude, Farhan Qureshi

When does a good resignation letter not protect you? (the part nobody mentions)

A clean letter fixes dates. It doesn't override your contract, and it can't help when the resignation itself is the problem.

When you might want it back. The general rule favors you: you can usually withdraw a resignation before it takes effect, and in some cases before it's accepted. In Srikantha S.M. v Bharath Earth Movers (2005), the Supreme Court held the employee could have withdrawn his resignation before the date it was to take effect. In S.D. Manohara v Konkan Railway (2024), it repeated that "resignation can be withdrawn before its acceptance, is an established principle of law", in a judgment the bench said resolved one dispute rather than set precedent. Both involved public-sector employers. The exceptions bite, though. In Air India Express v Gurdarshan Kaur Sandhu (Supreme Court, 2019), the court held the rule gives way where the contract or service rules say otherwise, or where the employer has already arranged a replacement acting on the resignation. Never resign as a bargaining move. If your manager answers with money, read whether to take the counter offer first.

When you're pushed to resign. If your manager hands you a drafted letter, slow down. Resigning can cost you notice pay or severance you'd get if let go, and a performance plan is often a managed exit built to end in that letter. Find out what you lose first.

When your sector has its own rules. Government jobs, PSUs, airlines and banks often have service rules with prescribed forms. Follow the form. And on money: the Code on Wages says wages due on resignation are to be paid within two working days of the resignation, but the same section lets governments set different limits. That covers wages, not your whole settlement. Don't assume a two-day payout; ask HR for the date.

When you're in the US. Most US jobs are at-will, and Georgia's State Accounting Office tells its own at-will staff that notice is "preferable, but not required," with two weeks the accepted professional standard. Final pay timing is a state question, since federal law doesn't require employers to give former employees their final paycheck immediately. There, the letter mainly fixes your last day and keeps the relationship clean.

This is general information, not legal advice. Check your appointment letter and HR policy, and if real money or a dispute is involved, talk to an employment lawyer.

What to do now

  1. Open your appointment letter first. Note your notice period during and after probation, whether a buyout is your right or the company's choice, and any bond.
  2. Write your last working day as a date. Ask HR how they count notice if your contract doesn't say.
  3. Pick one template and keep the six lines. Resignation, date, notice, last day, handover, paperwork. Drop the reason and the complaints.
  4. Tell your manager first, then send it the same day. Use "Resignation: [Name], [Role]" as the subject, and follow any portal or signed-copy rule.
  5. Get the reply in writing. Confirm your last working day, your settlement date, and your relieving and experience letters.
  6. Keep copies off your work account. Save the sent email, HR's confirmation and your handover plan somewhere you can reach after you return your laptop.

Got a resignation letter half-written and a manager meeting tomorrow? Message me on WhatsApp. I'll check your notice clause and last-day math with you, cut the letter to the six lines HR needs, draft the early-release ask if you need one, and rehearse the conversation with your manager so the email lands cleanly the same day.
